Report from the October 2004 AHYA Board Meeting

 

 October 2004 Regional Directors Meeting      

            At the October meeting of the AHYA Regional Youth Directors, there were 19 Regional directors, vice directors, and executive members present.  The meeting was called to order, introductions were given, and regional updates were given.  Treasurer Ashley Jackson reported that the raffle had raised $3000 at Youth Nationals.

            Committee reports from the convention committee meetings held at Youth Nationals were given . The Equitation and Showmanship Committee received positive feedback on the HA and PB splits in the equitation classes, and they also asked the regional directors to push adult equitation on the class A and regional levels. The Youth Activities Committee held an ice cream social at Youth Nationals that went very well; attendance was up from last year. They also did Arabian Horse Power this year; that also went well. The Regional and National Classes Committee chair wrote notes to both the Youth Nationals’ and the Canadian Nationals’ show commissions about class conflicts and classes to be added. Youth were also told to write letters to their regional show commissions to bring up problems at the Regional show level and to help promote adult showmanship.The Membership/Promotions/ Fundraising Committee stated that membership has gone up 2%, and Canadian membership has gone up a lot. AHYA will also be having a booth at the National FFA Convention this year to promote the Arabian Horse. The Convention/ Credentials Committee was happy with the increase in involvement in the convention but would still like to see more youth there next year.

            Committees and 19th chairs for Adult Committees were chosen for this year.  Nineteenth chairs are Brittany Butterworth- Equitation/ showmanship, and Sport Horse Nationals, Ashley Jackson- Membership, Kendra McConnell-National Champion/Reserve Classes, Marcie Lee Limp-Working Western, Youth Activities, and Awards, Britta Hegge- Youth Nationals, Alexandra Clark- Hunter Jumper, and Kristen McKee- Convention/ Credentials.

            The Hunter Judges on the Flat Resolution was approved. The resolution says that equitation judges for hunt seat on the flat must be carded Arabian judges but do not have to be USEF carded. Although we voted yes, we also thought that there should be at least one USEF judge kept.

            Regional Directors are being asked to try to promote the Arabian more on the 4-H level. Some ideas on how to do this are to inform the 4-Hs of any clinics or shows that are being put on by Arabian clubs that they can come to, put on Arab demonstrations, and to sponsor Arabian High Point Awards at the state level.

            This years AHYA convention will be held in the Youth Hall. Our theme will be “Clue into the AHYA.”  To go along with our theme, we will be having a murder mystery. In this murder mystery there are clues given out to the youth; the youth follow these clues, and the end will be the introduction to our guest speaker (who is undecided right now). The creative contest theme will be “The Mystery of the Arabian horse” to go along with our mystery theme. This year we are going to try a big buddies mentoring program at the convention to help the kids understand what exactly is being voted on and also just to help them get to know the Regional Directors better. Committee meetings will be held from 2-5 pm either on Thursday (if an extra day is added to convention) or on Friday, and the general session will be from 9 am-12 pm the following day. Before the general, session we will be having a pancake breakfast on the street in front of Youth Hall. All food and drinks will be provided by AHYA, but each region is responsible for having someone at their table serving.

            As the Youth Nationals Committee chair, I will be writing a letter to the Youth Nationals Show commission to suggest new photographers for this year. There were many complaints with the photographer in the coliseum, so we came up with a list of photographers who we think do good work. They are Rob Hess, Jeff Jansen, Howard Schatzberg, Rick Osteen, and Mike Ferrara.

Minutes of the Sept. 20-21, 2003 IAHYA Board Meeting

The last board meeting was September 20th and 21st.  I was unable to attend, but here is a portion of the minutes.  These are some things that may be of interest to you.  I underlined a few things that are a little more important and that the board may want to know about.  Also, after the minutes there is the new board member contract that we all must follow if we want to con

V.            Committee Reports      

  1. Equitation Committee

·        Passed three resolutions

·        The showmanship resolution is now being passed on to the IAHA convention for final approval.

·        Equitation Committee passed in January that you must be dismissed from the show ring to the paddock during patterns.

·        Equitation committee passed schooling resolution to go before the board at IAHA convention.

  1. Youth Activities

·        Creative Contest winners will receive $50, and a large model horse from Breyer Animal Creations.  Reserve champions will receive a small model horse from Breyer.

·        Youth achievement awards program no longer exist.  Those who participated in YAA are encouraged to enroll in Amateur Achievement Awards.

·        Regional Team Tournament rules are changed in the new 2003 IAHA Handbook.

·        Our Board is going to ask the Youth National show commission if the parade of regions time and date can be moved, because of conflicts with jumping and trail.  (Joan, This could affect our delegates)

·        There was a request for a youth directory

·        Talked about adding fun classes to Youth Nationals

·        Make a new web site

·        Talked about having a regional pin swap at the welcoming party at youth Nationals.

·        There is interest in the horse bowl.

  1. Regional and National Classes

·        Announced to write letters to Sweepstakes to request they put it back at Y.N.           

·        The issue of Hunt Seat Equitation between Hunters, and Pleasure riders was discussed.

·        Canadian Nationals age divisions were discussed because of the large number of youth in 17 and under classes.

·        Suggestions were to write letters so show commission and gather votes from youth about their opinions on the matter

·        It was moved by Ashley Toye and seconded by Caitlin Zech, to write a letters to the regional Directors requesting that they gather opinions and votes on the class age divisions at Canadian nationals. The motion passed unanimously.

·        (Motion # 3)

  1. Membership committee

·        Opinions were given on how to gather more youth.

·        We voted to keep the 19th seat in the National Committee of membership

  1. Fundraising

·        Discussed making sprit buttons.

·        Having door prizes at convention.

·        Posters of regional clubs for convention- have prizes for best poster; make this a requirement for regional youth clubs to do.

  1. Ad Hoc/ 4-H Committee

·        Make the letters to the state extension office a requirement for regional directors

·        Give out chairs as prizes

·        Make posters for 4-H to put up at show office to advertise program.

  1. New committee chairs

·        Regional and National- Ashley Toye-chair (19 liaison), Silvia Otabachian- co-chair.

  1. It was moved that we amend the Ad-Hoc/ 4-H committee to the 4-H/ Open show committee, by Michele Ehrlund, second by Silvia Otabachin, Passed unanimously.

·        Local IAHA club Committee

  1. It was moved by Michele Ehrlund to start a local IAHA club committee, and seconded by Nicole Shallcross, passed unanimously.

·        IT was suggested that we look at moving the Parade of Regions to Tues. Or Wed. Night.

·        Hippology

·        Kendra McConnell moved that we expand hippology with a written test, seconded by Kate Garner, and passed unanimously. (Joan, Stacey will probably need to know this)

·        (Motion # 7)

·        Promote the trainer against trainer competition.

·        Donkey Kissing- should be talked about and promoted at committee meetings and then have youth pay at convention.

·        Silent auction -went great

·        Stick horse - move to youth activities office

8. Resolutions

·        Showmanship resolution will go in effect after being passed and IAHA convention.

·        It was suggested to make an age group of 6-10

·        Equitation resolution will go before IAHA convention for final passage.

·        The age resolution was rescinded.

VII. New Business

1.      Executive Office Nominations

·        Will be done by IAHYA board making a predetermined Slate

·        And open nominations from the floor at convention.

2.      ATR Classes- suggested that they might add Sidesaddle

VII. New Business Continued

4.      4-H

·        Sept. letters must be sent out to extension office and let board know by January meeting if the 4-H will do it.

·        If you are in an overlapping region on a state, communicate to see who is going to take care of that state.

·        Make a letter that explains exactly what the director needs to do.

Rules for The IAHYA Board Directors 2002-3

 

“Three strikes you’re out”

 

Passed September 23, 2002, IAHYA Board Meeting

If the Regional Youth Director does not complete any item on the following list of requirements, then he or she will get a check.  Once three checks are received, that Regional Youth Director will be expelled from the IAHYA Board.  This system was established in order to keep a strong youth board, and to make sure that every Regional Youth Director recognizes the importance of all duties involved with their position.

bullet1st check: The IAHYA Regional Youth Director and his/her Adult Youth Coordinator will receive a letter from Hillary Hoffman, IAHYA President.
bullet2nd check:  The IAHYA Regional Youth Director, his/her Adult Youth Coordinator, and his/her IAHA Regional director will receive a letter from Hillary Hoffman, IAHYA President
bullet3rd check: The IAHYA Regional Youth Director is expelled and the region must have a new director by the next board meeting.

Requirements of Each Regional Youth Director:

  1. IAHYA Board Meetings: Each Regional Youth Director must attend three mandatory board meetings; July, September and January of each year.  A check will be given for any meeting missed.

·        Acceptable excuses ONLY: death in the family or serious illness.   Excuses must be given in writing to IAHYA President Hillary Hoffman.

  1. IAHYA Convention: Each Regional Youth Director must attend the IAHYA Convention held annually at Youth Nationals.  A check will be given if convention is missed.

·        Acceptable excuses ONLY: death in family or serious illness.   Excuses must be given in writing to IAHYA President Hillary Hoffman

  1. Qualifier T-shirt sponsorships: Each Regional Youth Director must find at least one sponsor for the Youth Nationals Qualifier T-shirts.  A check will be given if a sponsor is not found by established deadline.
  1. 4-H extension office: Each Regional Youth Director must make contact with their local 4-H extension office and provide proof of this contact.  If contact is not made by established deadline (to be determined at January 2003 board meeting) a check will be given.

 

  1. Must turn in Who’s Who’s Blurb: Each regional director must turn in a “Who’s Who’s” blurb to put on the IAHA Youth “who’s who” web page.  (this is due NOW to Kristy!).  If a blurb is not received a check will be given.

 

  1. Annual Regional Meeting: Each Regional Youth Director must hold at least one youth meeting a year in their region and have meeting minutes which are signed by the Adult Youth Coordinator for their region.  Minutes are due at the 2003 July Board meeting.  If these minutes aren’t provided, a check will be given.

 

  1. Delegates: Each Regional Youth Director must have a list of their region’s delegates at July 2003 board meeting.  This list can be received from the Adult Youth Coordinator by June 1, 2003.  If this list is not provided, a check will be given.

 

  1. Regional poster: Each Regional Youth Director must have a regional poster by the 2003 July board meeting which promotes their region.  If no poster is provided a check will be given.

 

  1. Regional Updates: Each Regional Youth Director must provide a written regional update for each board meeting. This means three (3) reports per year.   If no written update is provided a check will be given.

 

  1.  Term: The official term of a Regional Youth Director begins August 1st.

 

Expulsion in Addition to The Check System:

If a Regional Youth Director is found with alcohol, drugs, breaks curfew at any board meeting, uses violence, or is otherwise determined to be in non- compliance with respect to the IAHYA Board, IAHA Board, IAHA members or staff, that Regional Youth Director may face immediate expulsion from the IAHYA board without warning. 

I have read the above requirements and understand that I must comply with them as a member of the 2002-3 IAHYA Board.  By signing below I accept my duties as an IAHYA Officer/Regional Youth Director and understand my failure to complete my duties could result in expulsion.
